Mobile money payments to producers: what to prepare

Mobile money leaves a record of every payment. But each payment still has to go to the right number and match a delivery.

Why switch to mobile money

Paying in cash, at the farm gate or at the warehouse, means transporting and counting cash. It leaves few usable records. With mobile money, every payment is recorded, time-stamped and linked to a number. The organisation knows who was paid, how much and when. The producer receives their money without waiting for an agent to visit.

These benefits do not come automatically. A poorly prepared payment can go to the wrong number, be paid twice or match no delivery at all.

Before the first payment: a reliable registry

Payment relies on the producer registry. For each producer, you need:

  • a unique ID;
  • a verified phone number, registered in their name or in the name of a person they have designated;
  • a record of their agreement to be paid on that number.

Mobile money accounts are subject to identification rules and limits set by the operator and by national regulations. Check them before setting payment amounts and schedules.

Linking each payment to a purchase

A payment must always be traceable to what justifies it: a weighing, a lot, a premium, an advance. This reconciliation answers three questions:

  • has every delivery been paid?
  • does every payment match a delivery?
  • does the amount match the recorded weight, price and quality?

Premiums (certification, quality) are handled the same way: a documented calculation, an identifiable payment, and proof that can be shown to a buyer or an auditor.

Keeping the producer informed

A producer must be able to check what they have received. An SMS receipt showing the weight, price, amount and purchase reference reduces disputes. Also provide a simple way to report an error, and a person responsible for responding.

Planning controls

A few controls prevent most incidents:

  • two separate approvals before any bulk payment;
  • an alert when the same number receives payments for several producers;
  • an alert for unusual amounts;
  • regular reconciliation between payments sent, the operator’s confirmations and purchases.

Supporting the change

Switching to mobile money changes habits. Some producers need help opening an account, withdrawing their money or understanding a receipt. Cooperative presidents and field agents must be able to answer their questions. Start with a pilot area, note the difficulties, then expand.

Choosing the technical integration

Depending on your volumes and tools, payments can be sent from a file submitted to the operator or through a direct connection between your software and the operator’s services. In both cases, payment confirmations must flow back into your data, so that reconciliation happens without re-entry.
