The principle: reliable data, a child followed
A monitoring system is only as good as its data. A form filled in at the office, a visit that never happened or a forgotten case is enough to distort a whole report. Data4Child is built so that every form is evidence, and every identified case has an owner and a next step.
Surveys are done only on the field officer's phone, in the field. The web is used to organise, check, decide and report.
Team, areas and phones
The CLMRS manager organises the team: supervisors, field officers and their areas. Each farmer is assigned to the officer of their area, who sees only the households in their care.
A phone sends no data until it has been registered and approved by a supervisor. If it is lost or stolen, it can be blocked or wiped remotely.
Campaign and targets
The campaign is split into phases: community profiles, awareness-raising, household surveys, plantation visits, follow-ups. For each phase, the supervisor sets what each officer must cover and the pace to keep.
Officers see their targets and progress on their phone; supervisors see those of their whole team.
Field data collection, even offline
The Android app receives in advance everything the officer needs: their farmers, households, open cases, visits due and questionnaires. It then works offline; forms are sent automatically as soon as the phone has a signal.
- Household surveys and interviews with children
- Plantation visits, with the plot and the officer's position on the map
- Follow-ups, action plans and support handovers
- Awareness sessions, community profiles and programme-specific surveys
- Emergency reports, handled as a priority
Questionnaires guide the officer: questions to read out, mandatory answers, consistency checked before sending. Data stays protected on the phone, behind an unlock code.
Checking every form
On receipt, each form is checked: where and when it was filled in, how long entry took, which phone it came from and whether it is complete. An inconsistent location, a spoofed location or an abnormally fast entry gets the form blocked.
A blocked form has no effect until a supervisor reviews it: they approve it, send it back to the officer with what to fix, or reject it with a reason. An emergency report is always handled.
Identifying and classifying cases
From approved answers, each child concerned is classified: in child labour or at risk, with a severity level. A case then opens automatically, with a case manager and a first deadline.
Classification follows the programme's reference framework. Its detailed logic and parameters are shown in a demo.
Remediation and follow-up until exit
Each child's case follows the remediation steps: needs assessment, action plan, household awareness, support provided, then regular follow-ups. Each step has a deadline; delays are flagged and escalated automatically.
When follow-ups show a lasting exit, Data4Child proposes closing the case; a manager decides. If the child falls back into a risk situation, the case resumes. The full history remains available for audits and for reports to buyers or donors.
Performance and steering
Each officer sees their own scorecard: forms sent, phase coverage, timely follow-ups, error-free forms. Supervisors have each officer's report, and the CLMRS manager has the programme dashboards: cases by status, emergencies, overdue deadlines and data quality.
Statistics can be filtered by section, village, age or period, and exported for reports.
Protecting children's data
Children's personal data is restricted to the CLMRS manager and senior management. Other users work with indicators. On the phone, data is encrypted, and photos and signatures are removed as soon as their upload is confirmed.
All important actions are logged: who approved a form, who opened or closed a case, and when.
The link with Sankora
Data4Child relies on the same farmer and plot register as Sankora. A cooperative using both enters its farmers only once, and can show its buyers, in one tool, the traceability of its lots and the follow-up of its social commitments.
